The Final Day: What Happens If You Don't Digitize Your Employment Record Book on Time

Ukrainians who began working before January 1, 2004 must digitize their employment record books by June 10.

How do I digitize my employment record book?

The document can be digitized either by the employee directly or by their employer. Make scanned copies of your employment record book and upload them to the Pension Fund of Ukraine’s web portal (portal.pfu.gov.ua).

How to check if the document has been digitized?

You can also check whether your paper employment record book has already been digitized on the PFU web portal. Simply log in to your personal account, then:

  1. Select the “Electronic Employment Record Book” section from the menu.
  2. In the “Scanned Copies of the Employment Record Book” tab, check if the documents have been uploaded.
  3. In the “Digitized Electronic Employment Record Book” tab, check the completed digitization results.

Lost your employment record book due to the war?

Your employment contracts, payroll records, employment certificates, or extracts from orders can serve as substitutes for your employment record book.

If your company remains under occupation or is located in a combat zone, two witnesses who worked with you can confirm your work history. However, they must have their own documents to confirm this.

What happens if you don’t have time to digitize your employment record book?

The Pension Fund will accept scanned copies of the employment record book even after June 10, 2026.

Your insurance record will not be lost if you do not have time to digitize the document by June 10.
